1. Installation/Un-Installation Guidelines

 

 

1.1. System Requirements

 

Hardware:

1. CPU – Minimum 512MHz

2. RAM – 512 MB

 

Software:

1. Windows XP (Service Pack 1 or grater) / Windows 7 / Windows Vista Operating System

2. Windows Office 2000 or later – Requires Microsoft Outlook configured.

3. Microsoft Common Runtime Library 2.0 or later version.

 

1.2. Installation Guidelines

 

Step 1: Double click the OutlookSyncBackup.exe to start the application installation process.

Step 2: At the welcome page click the Next> Button

 

 

Step 3: Accept the License Agreement. All the end users are advised to read the License Agreement carefully before installing the application.

 

 

On agreeing to the terms and conditions, the installation wizard will take you to the next step.

Step 4: Choose the desired folder where you want the application to install in your machine.

 

 

Click Next > button to proceed further with the installation.

Step 5: You can confirm installation by clicking the Install button.

 

 

 

Step 6: Normal installation will take maximum 2 minutes. On successful installation, you will get the following dialogue box with Finish button enabled.

 

 

Click Finish button to complete the installation.

 

 

1.3. Un-installation Guidelines

 

Step 1: Go to Control Panel by Start -> Control Panel

Step 2: For Windows XP users open Add or Remove Programs, Windows Vista and up open Programs and Features

Step 3: Click on Outlook Sync & Backup

 

 

Step 4: Click Remove button to initiate uninstall process.

Step 5: Click the “Yes” button in the uninstall dialogue.

 

 

It will take around 1 – 3 minutes time to uninstall the whole application.

If you face any problem in un-installation, please restart your machine and try again.

Alternatively you can uninstall from the application start menu entry by Windows Start -> All Programs -> Outlook Sync & backup -> Uninstall

 

 

1.4. Upgrading the License

 

At any point of time, end user can upgrade the license. License up-gradation page will be opened by clicking Help -> Register

2. Registration / Licenses

 

2.1. Registration Steps

Step 1: Start the Outlook Sync & Backup application by Windows Start -> All Programs -> Outlook Sync & Backup.

Step 2: On first start, the application will show the Product Upgrade Form as follows,

 

 

By default you are provided with a free 15 day trial of the application.

To remove the time restrictions you must purchase a product key from http://www.outlooksyncbackup.com/order.php

Step 3: To purchase a software licence click on the Upgrade button, this will direct you to the product order website.

After purchasing a licence you will be emailed a product key, which you must use in the following stages.

Step 4: Click the Activate Button on the Product Upgrade form shown above.

Step 5: Select Automatic activation process, and click Next.

 

Step 6: Enter the Product key sent to you after purchasing a licence from the website, and click the Next button.

 

 

Step 7: The product will then automatically activate and all software functionality will be unlocked.

 

 

Click the Finish button to continue to the application, you do not need to follow the remaining steps.

If automatic activation fails, this can occur if you do not have an Internet connection, click the Back button to return to the activation method selection page.

Step 8: Select Manual activation process, and click Next.

 

 

Step 9: Enter your product key and click the Go button, this will direct you to http://www.outlooksyncbackup.com/activate.php

 

If you do not have an Internet connection on the computer you are trying to register the application on then make a note of your Product Key and Hardware ID and navigate to http://www.outlooksyncbackup.com/activate.php on a computer that does.

Step 10: Enter your Product Key and Hardware ID into the on-line form, this will be done automatically for you if you used the Go button above.

Click the Activate button.

 

 

You will then be presented with an activation code, please copy this and enter it into the activation form shown in step 9.

Click the Next button to activate the software and unlock all functionality.

 

2.2. Instructions for installing the trial version

 

The trial version is fully functional except that it will stop working after 15 days from its initial date of installation on the installed computer. The trial version can be initiated by clicking the Close Button in the Product Upgrade form.

At any point you can activate the product or upgrade to a full version by selecting Register from the About menu.

 

 

 

2.3. Licenses

 

Outlook Sync & Backup comes with Two version types,

1. Outlook Sync & Backup (desktop install version)

2. Outlook Sync & Backup Portable (non-install version)

The Outlook Sync & Backup is a full version, which with all features enabled. The Outlook Sync & Backup Portable also with all features enabled, but it runs directly on any portable device such as a USB flash drive or portable hard drive.

 

Outlook Sync & backup trail Version is fully functional 15-day trail version.

 

 

 

3. Starting Outlook Sync & Backup

 

To start Outlook Sync & Backup, plug in your USB Drive or your portable storage device and double-click on the Outlook Sync & Backup icon to start the application.

 

3.1. USB Device management window

The application USB device management window will come up as follows. At first run the application will enumerate all USB-storage devices and will allow you to pick one device for synchronize / backup. As soon as the device is selected, program data folder is created on that device.

3.3. Synchronize / Backup Progress window

 

On initiating Synchronize / backup operation, Synchronization Progress window will come.

 

Current Item Under Operation – shows which folder and item are synchronized.

 

Synchronization Status – Shows the percentage completed in the current synchronizing. Shows the time and items remaining for the synchronizing process to complete. This is an approximate time which helps the user to predict the synchronized completion time. Also show current synchronizing speed.

 

Cancel Buttons – User can Cancel / Stop the synchronizing at any point of time.

 

 

3.4. Settings window

 

In this settings window you are able to set some general settings:

Autostart - Enable this option will start Outlook Sync & Backup automatically whenever you connect your portable storage device to your PC.

 

Encryption - If you choose the Encryption, Outlook Sync & Backup will encrypt the data stored on your USB drive. But please note, this change only effects newly created backups, old backups will not be changes.

 

 

 

 

4. Typical Usage Scenarios

 

The Outlook Sync & Backup can be used for two different scenarios. One, to make a backup of your Outlook data on your portable storage device so you can access the data on a remote PC, or two, to use Outlook Sync & Backup to synchronize your Outlook data between different PCs (e.g. between your work and home PC).

 


5. How to make a backup of Outlook on portable storage device

 

5.1 How to make a Full Backup

1. On the program main window click Full Backup button, and the backup process will start.

 

5.2 Backup only specific Outlook folders

1. On the program main window, check the folders you want to backup (e.g. Inbox, Calendar, Contacts, etc.)

2. Then select the 'Sync Rule' you want to apply for each of the folders you selected for backup. Two sync rules you can use for this type of backup, see description below:

a) Update USB - Creates and/or updates all items from PC to portable storage.

b) Replace USB - Overwrites all items on the portable storage with the correspondent PC item, deleting first the item from portable storage.

 

3. Then click the 'synchronize' button, and the backup process will start.

 

5.3 Update created backup files on the USB device

1. On the main window, check the backup file you want to update,

2. then click the Load Backup File button to load it from USB device.

3. check the folders you want to backup (e.g. Inbox, Calendar, Contacts, etc.)

4. Then select the 'Sync Rule' you want to apply for each of the folders you selected for backup. Two sync rules you can use for this type of backup, see description below:

a) Update USB - Creates and/or updates all items from PC to portable storage.

b) Replace USB - Overwrites all items on the portable storage with the correspondent PC item, deleting first the item from portable storage.

 

5. Then click the 'synchronize' button, and the backup process will start.

5.4. Full Restore

1. On main window, check the backup file you want to restore,

2. And then click the Load Backup File button to load it from USB device.

3. Click Full Restore button,

4. then prompt a full restore confirm window, click Yes to start full restore.

 

5.5. Restore only specific outlook folders

1. On main window, check the backup file you want to restore,

2. And then click the Load Backup File button to load it from USB device.

3. Check the folders you want to restore (e.g. Inbox, Calendar,Contacts, etc.)

4. Then select the 'Sync Rule' you want to apply for each of the folders you selected for restore. Two Sync Rules you can use for restore, see description below:

(a) Update PC - Creates and/or updates all items from portable storage to PC.

d) Replace PC - Overwrites all items on PC with the correspondent portable storage item, deleting first the item from PC.

5. Click on the 'Synchronize' button and the restore process will start.

 

 

 

6. How to use Outlook Sync & Backup to synchronize your Outlook data between different PCs (e.g. between your work and home PC).

 

In order to use Outlook Sync & Backup to synchronize your Outlook data between different PCs (e.g. between your work and home PC), please follow the steps described below:

 

1. Run the program on work PC side, to create a backup to the portable storage device

2. Run the program on home PC side, select the backup files created by work PC side,

3. click the Load Backup File button to load this backup file from USB device.

4. Check the folders you want to synchronize (e.g. Inbox, Calendar, Contacts, etc.)

5. Then select the 'Sync Rule' you want to apply for each of the folders you selected for synchronization. All sync rule description below:

a) Update USB - Creates and/or updates all items from PC to portable storage.

b) Replace USB - Overwrites all items on the portable storage with the correspondent PC item, deleting first the item from portable storage.

c) Update PC - Creates and/or updates all items from portable storage to PC.

d) Replace PC - Overwrites all items on PC with the correspondent portable storage item, deleting first the item from PC.

d) Bi-directional sync - Creates and/or updates all items from PC to portable storage device and vice versa.

 

6. Click on the 'Synchronize' button and the synchronization process will start.
